About our privacy policy

CLEANLY cares a lot about your privacy. Therefore, we only process data that we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided by CLEANLY. The effective date for the validity of these terms is 31/08/2024; with the publication of a new version, the validity of all previous versions ceases. This privacy policy describes what data about you is collected by us, how this data is used, and with whom and under what conditions this data may be shared with third parties. We also explain to you how we store your data, how we protect your data against misuse, and what rights you have regarding the personal data you provide to us.

Purpose of data processing 

General purpose of the processing

We use your data solely for the purpose of our services. This means that the purpose of the processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time - other than at your request - we will explicitly ask for your consent. Your data will not be shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality based on the agreement between them and us or an oath or legal obligation.

Automatically collected data

Data that is automatically collected by our website is processed for the purpose of our dienstverlening further to improve. This data (for example, your IP address, web browser, and operating system) is not personal data. 

Cooperation in tax and criminal investigations 

In certain cases, CLEANLY may be required by law to share your data in connection with tax or criminal investigations by government authorities. In such cases, we are compelled to share your data, but we will resist this to the extent permitted by law.

Retention periods

We will keep your data as long as you are our client. This means that we will retain your customer profile until you indicate that you no longer wish to use our services. If you inform us of this, we will also interpret it as a request for deletion. This also means that we will not keep your data for longer than two years from the last point of contact or transaction, unless there is a legal justification for doing so. Based on applicable administrative obligations, we are required to keep invoices with your (personal) data, so we will retain this data for as long as the applicable period lasts. However, employees no longer have access to your client profile and documents that we have created in response to your assignment.

Your rights

Under the applicable Dutch and European legislation, you as a data subject have certain rights regarding the personal data that is processed by or on behalf of us. We explain below what these rights are and how you can invoke these rights. In principle, to prevent misuse, we only send copies and duplicates of your data to your email address already known to us. In the event that you wish to receive the data at another email address or, for example, by post, we will ask you to identify yourself. We keep a record of processed requests, and in the case of a forget request, we record anonymized data. You will receive all copies and duplicates of data in the machine-readable data format that we use within our systems. You always have the right to file a complaint with the Data Protection Authority if you suspect that we are using your personal data in an incorrect manner.

Right of inspection

You always have the right to access the data that we (have) processed and that relate to your person or can be traced back to you. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data to the email address we have on file, along with an overview of the processors that hold this data, indicating the category under which we have stored this data.

Right of rectification

You always have the right to have the data that we (have) processed and that relate to your person or can be traced back to you, adjusted. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the email address we have on file that the data has been adjusted.

Right to restriction of processing 

You always have the right to restrict the processing of data that we (have) processed relating to your person or that can be traced back to you. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the email address we have on file that the data will no longer be processed until you lift the restriction.

Right to transferability

You always have the right to have the data that we (have) processed and that relates to you or can be traced back to you, executed by another party. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you at the email address we have on file copies or duplicates of all data about you that we have processed or that has been processed on our behalf by other processors or third parties. In all likelihood, we will not be able to continue the service in such a case, as the secure connection of data files can no longer be guaranteed. 

Right of objection and other rights 

You have the right to object to the processing of your personal data by or on behalf of CLEANLY in certain cases. If you object, we will immediately cease the data processing pending the resolution of your objection. If your objection is justified, we will provide you with copies and/or duplicates of the data we process (or have processed) and then permanently cease the processing. You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies.
